Slot Management

Slot Management

Definition:

Slot Management means the planning, reservation and coordination of time windows (“slots”) for loading and unloading vehicles at charging points, ramps or factory locations.
Using digital booking systems, freight forwarders and transport partners can reserve fixed arrival and dispatch times in order to manage processes, use resources efficiently and minimize waiting times.

Modern slot management systems integrate real-time data (e.g. GPS/ETA), prioritize incoming transports according to urgency and dynamically control the utilization of ramps and charging points.

Key Features:

  • Time slot booking for arrival & check-in
  • Dynamic adjustment based on ETA & traffic data
  • Prioritization rules (e.g. dangerous goods, just-in-time, refrigerated goods)
  • Communication & notification to all parties involved
  • Transparency for arrival, status & waiting times

Integration with plant & yard management
Slot management is often associated with yard management, gate check-in, and ramp planning. As a result, processes can be automated and the time spent by trucks on the factory premises can be reduced.

Regulatory & industry-specific relevance
Especially in chemical and industrial parks, slot management reduces safety risks and improves traffic control on critical plant areas.

Slot management challenges:

Lack of transparency & manual coordination
Without digital systems, time window coordination and status messages are carried out by telephone/e-mail — this leads to waiting times, traffic jams, inefficient personnel planning and unclear prioritization.

Unplanned delays & incorrect ETAs
Traffic, customs, technical problems or loading delays lead to missed slots — if these cannot be digitally adjusted, bottlenecks and traffic jams occur, particularly in industrial parks.

Loady's solution:

Transparent location & process requirements for slots
Loady makes it visible whether a location uses slot management, how the booking is made (e.g. link to the platform), which documents and advance registrations are required, and which rules apply for late arrivals.

Integration with driver information & check-in processes
Drivers receive clear instructions on gate check-in, time slots, navigation to ramps and safety zones — in real time and in multiple languages, available via QR link.
